The Operations Behind Every Upgrade

How KIME Medical Systems creates the capacity to upgrade lives

“Every great performance begins long before the moment everyone sees.”

Most people experience KIME through the eyes of our clinicians.

They see a physical therapist helping an athlete return to sport, guiding someone through recovery after surgery, or giving a parent the confidence to pick up their child again without pain.

Those moments are why we exist.

But every one of those moments depends on another team working behind the scenes.

At KIME, that team is KIME Medical Systems (KMS) — our Operations Team.

Its purpose is simple: create the conditions that allow our clinicians to do their best work.

Whether that means improving patient access, solving complex insurance challenges, optimizing schedules, building better technology, or creating more efficient systems, every improvement made by KMS creates greater capacity for our clinicians — and ultimately a better experience for our patients.

That realization led us to ask an important question:

If Operations is essential to our mission, shouldn't we invest in building careers there with the same intentionality we invest in our clinicians?

Beginning July 1, we answered that question with a resounding yes.

More Than a New Organizational Chart

The evolution of KMS is much more than new job titles.

It's a recognition that Operations is a profession.

For years, healthcare organizations have viewed administrative teams as separate functions — customer service, scheduling, billing, authorizations, credentialing. While each function is important, that model often encourages people to think in terms of tasks.

We chose a different path. Rather than organizing work around tasks, we chose to organize it around ownership.

Every member of KMS now follows a clearly defined professional pathway, beginning as an Account Coordinator and growing through increasing levels of operational ownership, leadership, and expertise.

Just as clinicians grow through increasing clinical responsibility, Operations professionals now grow through increasing operational responsibility. That's intentional.

Because leadership isn't measured by the complexity of your title. It's measured by the value you create for others.

Creating Capacity

The mission of KMS is remarkably simple: create more capacity for our clinicians to do what only they can do.

Every improvement in scheduling...

Every authorization completed before treatment is delayed...

Every billing question resolved...

Every technology improvement...

Every workflow made more efficient...

Every patient helped more quickly...

...creates more time, more focus, and more opportunity for our clinicians. And when clinicians have greater capacity, they can help more people.

That's how Operations upgrades lives.

Not indirectly.

Directly.

One Team. One Mission.

One of the most meaningful changes in this evolution is that KMS is no longer defined by individual departments. It is one Operations Team.

Some team members specialize in Account Management.

Others develop deep expertise in Revenue Cycle Management.

Some lead people.

Others lead through technical mastery, mentoring, innovation, and continuous improvement.

Different responsibilities.

One mission.

Together, KMS partners with every clinic, every clinician, and every patient to create an exceptional experience — from the first phone call to the final visit.

Measuring What Matters

We believe that what gets measured gets improved.

Our KIME Performance Dashboard has helped clinicians and clinic leaders measure progress, celebrate success, and identify opportunities to grow.

Beginning this month, KMS is now represented on the KIME Performance Dashboard under KMS Operators. That addition represents far more than a new dashboard page — it reflects our belief that operational excellence deserves the same visibility, accountability, and commitment to continuous improvement as clinical excellence.

The KMS Operators dashboard doesn't simply measure activity. It measures outcomes.

Are clinicians maintaining healthy schedules?

Are patients gaining timely access to care?

Are we improving operational efficiency?

Are we creating greater capacity across the organization?

One metric sits at the center of that vision: our Efficiency Ratio — the number of clinicians supported for every KMS Operations team member.

Our North Star: growing +1.0 every year.

As that number grows, it tells us we're building smarter systems, stronger teams, and creating greater capacity for clinicians to focus on what they do best: upgrading lives.

The dashboard isn't about ranking people. It's about helping all of us improve together.

Leadership Expands Influence

This month's KIMELife theme is Leadership. The evolution of KMS is another example of what leadership looks like at KIME.

Not more hierarchy.

Not more managers.

More ownership.

More opportunity.

More influence.

When we invest in Operations professionals, we strengthen every clinic, every clinician, and every patient experience.

Some people upgrade lives through hands-on care. Others upgrade lives by building the systems, solving the problems, and creating the operational capacity that makes exceptional care possible.

Both are indispensable.

As we continue building toward our vision of upgrading 100,000 lives, one thing becomes increasingly clear:

Great clinicians change lives. Great Operations teams make it possible for great clinicians to change even more.

Just as our clinicians pursue clinical excellence, KMS now has a clear pathway to operational excellence.

Different disciplines. One standard. One mission. One KIME.
